Training records, certificates and expiry information brought together across a multi-site operation.
Training records that had outgrown their app.
A multi-site construction-equipment hire, contract-lifting and training business needed a faster and more reliable way to manage employee training, licences and certifications.
Its existing Power Apps application had become slow as the volume of information increased. Training records were difficult to process efficiently, reporting required numerous separate queries and certificates were stored in several different places.
The system also needed to work for depot-based administrators, mobile workers and a training school managing external learners.
One compliance record for every location.
A central training and compliance application covering approximately 10,000 records across three operational locations.
Around 50 internal users access the system, including administrators, managers and deskless workers using mobile devices. External learners are also recorded without requiring access to the application.

Training records
The application records courses, licences, certifications, awarding bodies, completion dates and expiry dates.
Records can be marked as:
- Achieved
- Booked
- Expiry pending
- Expired
- No expiry
- Archived
Compliance overview
A live dashboard shows:
- Overall compliance
- Upcoming expiries
- Records expiring within 30, 60 or 90 days
- Departments requiring attention
- Recent training activity
Depot and department access
Administrators can be given access to specific depots and departments. Permission checks prevent users from seeing records outside their authorised area.
Certificate management
Certificates are held in a structured SharePoint document library and connected to the relevant training record.
Authorised users can upload, view, replace, remove and email certificates from within the application.
Mobile access
Mobile workers can view their training records and certificates without needing to use a desktop computer.
External training
The organisation’s training school can record external learners, their courses and their certificates without giving those learners access to the internal system.
Courses and awarding bodies
Administrators can manage available courses, awarding bodies, internal users and external training members from the application.
Help and support
A searchable help area answers common questions and allows users to submit a support request directly from the application.

Rebuilt on the Microsoft 365 already in place.
Built with React and TypeScript using Vite, with Fluent UI, Recharts and PDF.js. The application integrates with Microsoft Entra ID, Microsoft Graph, SharePoint Online, Exchange Online and retained Power Automate expiry workflows.
In production and maintained.
The platform remains in production and continues to be maintained as training and compliance requirements develop.
